How it works
One conversation to set up, then your trips each quarter.
First, once: set up your account
We start with your carrier details, your base jurisdiction, and the trucks you run. If you are moving from another preparer or doing it yourself, bring your last return and we will pick up where it left off.
That is the only part you set up. Everything below is the quarter.
Then, every quarter
1. Send us your trips and fuel
For each trip: the date, where it started and ended, the odometer, and the miles in each state. For fuel: the receipts, with the gallons and where you bought them. Send them as they happen or all at once at quarter end, whichever suits you.
2. We prepare the return
Miles and gallons are totalled by jurisdiction, toll miles are kept apart where a state taxes them differently, and that quarter's rates and surcharges are applied. Anything that does not add up, like a gap in the odometer or a fuel stop with no trip, comes back to you as a question, not as a surprise on the return.
3. You review it before it goes in
You see what you owe or what is due back, jurisdiction by jurisdiction, before the return goes in. Nothing is submitted until you are happy with it.
The deadlines
IFTA returns are due on the last day of the month after each quarter ends:
- First quarter (January to March): April 30
- Second quarter (April to June): July 31
- Third quarter (July to September): October 31
- Fourth quarter (October to December): January 31
IRP registration renews once a year. We keep track of both and tell you what we need ahead of time.
What you need
- Your IFTA and IRP account numbers, or we will help you get them.
- Your trip records and fuel receipts, in whatever form you keep them.
- Each truck's unit number, VIN and plate.
Get in touch and we will get you set up before the next quarter closes.
